Job Description:

The Position
We are currently looking for a Receptionist/Office Assistant to manage the front of our office. We are seeking a personable individual to greet our clients and visitors along with those contacting us by phone. In addition to other regular administration duties, you may be assisting with project-based work from time to time and meet with product representatives. The ideal candidate will have experience in a similar role, and possess proficiency in Microsoft Office: Office 365 Word, Excel and Outlook, with strong typing and editing skills. Candidates should possess strong organizational and problem-solving skills and a keen eye for detail.

Responsibilities Include:
• Handling switchboard and reception.
• Handle incoming and outgoing courier deliveries
• Maintaining office supplies and initiating orders of new supplies as required.
• Coordinating reference library and product representative visits, and assisting with lunch & learn organization. Maintaining project lists and contact lists, including data inputs into company data program.
• Organizing and providing refreshments for in-house meetings as required.
• Project filing and other document handling as required.
• Ensuring the kitchen/lunch room is maintained in a clean and tidy manner.
• Transcribing meeting minutes, project notes and other correspondence.

Required Skills / Experience / Qualifications:
• Minimum 3-5 years’ experience working in an office environment.
• Outgoing, confident and socially comfortable with people.
• Capable with Microsoft Office Suite required
• Information managements skills (filing systems, IT processes, etc)
• Energetic, diplomatic and flexible problem-solving mindset.
• Self-directed and Quality Management driven.
• Graphic Design experience would be an asset (InDesign, Photoshop, Illustrator)
• Architectural or Engineering firm experience an asset.
